Role: HR Executive (Maternity Cover)

Location: London

Salary: £24k - £28k

Overview

This is a full-time role based within our Head Office. The role reports to the HR Manager and is part of the Central Services support for the company. As the HR Executive you will be responsible for proactive HR activity via company policy or practice with first class administrative responsibilities for HR matters, all within a timely manner. You may be required to support on HR projects.

Your Responsibilities as HR Executive

• You will be responsible for overall management and coordination of the administrative processes for the HR function, including:

  • Recruitment administration of new starters and Fixed Term Contracts and Freelancers.
  • Issuing employment contracts, NDA’s and other related documents.
  • Checking right to work documents & visas for new joiners.
  • Manage the leaver process when employees exit
  • Confirm changes in employment terms and conditions to promoted employees, including pay reviews and changes of job titles. You will also maintain and update files and relevant systems with the changes.
  • Administration and collation of the payroll information to our Group Services.
  • Monitor and seek approval for GOA’s (grant of authority)
  • Liaising with Group Services to resolve payroll queries.
  • Updating and Maintaining an accurate HR Database and employee files.
  • Providing monthly and ad-hoc reports from the HR system as required or requested.
  • Maintain absence records and highlight areas of concern to the HR Manager

• You will work alongside the HR Manager and Operations Director to communicate key information on company policy, practice, schemes and initiatives.

• You will be confident to provide basic advice and support on company HR process in absence of the Head of HR Manager.

• You will deal with all reference correspondence in line with company policy or other agreements by checking personnel files.

Ad-hoc and Supporting Responsibilities

• When needed you will deal with the administration of the department as and when reasonably requested.

• You will assist in the accurate updating of any HR database as required.

• Collate and report on HR information as and when requested.

• You will support and provide resources for any training events which might be arranged.

• You will be required to assist on internal and external audits of records and files. Personal Attributes

Key Skills Required for the role of HR Executive

Human Resources

• The HR Executive will need to have a demonstrable admin record and interest in HR, and will be keen to continue to develop themselves and the reputation of HR within the organisation in a positive manner. They will be proactive, astute and personable at all levels.

Communication & People skills

• The candidate will need to have excellent communication skills, both verbal and written, as they will be dealing with our clients and staff members on a day-to-day basis

IT Skills

• The HR Executive will need to have proven IT skills. Proficiency in Microsoft Excel and word are desirable.

Confidentiality

• As the candidate will be subject to highly confidential information, discretion and confidentiality are essential attributes.

 

Organisational and Time Management skills

• Excellent organisational and time management skills to effectively plan and meet deadlines, prioritise work and to work under pressure.
